As an Executive VA at Jungle House, you’ll work closely with our CEO to ensure smooth operations and outstanding guest experiences. This role is for someone who loves making a difference and delivering accurate, skill-based work on time.

RESPONSIBILITIES:
- Executive Assistance: Perform essential executive assistant functions, including email management, calendar management, KPI metric management, file organization,travel arrangements, and handling personal matters to leverage executive time efficiently.
- Administrative Support and Scheduling: Coordinate schedules, manage inventory with cleaners, place and coordinate order deliveries, and maintain our systems for tracking supplies and responsibilities.
- Project Management and Coordination: Oversee projects from conception to completion, including gathering information from guests, owners, and management, entering data into systems, and coordinating with vendors.
- Financial and Bookkeeping Tasks: Manage the entry of bookkeeping items, including material costs, and assist with budget management through regular quality control checks and pricing comparisons.
- Customer Communication and Issue Resolution: Respond to customer inquiries and complaints first, offering personalized and empathetic solutions and processing guest contracts as needed.
- Research and Development: Conduct online research to develop and improve services, expand vendor lists, and explore new product options to enhance guest experience and operational efficiency.
- Marketing and Community Engagement: Research local activities and draft detailed informational content for guests. Participate in relevant online communities and engage in networking to expand business opportunities.
QUALIFICATIONS:
- Executive Assistant Experience: Experience as an executive assistant managing schedules, emails, and files. Knowledge of executive needs in property management is a plus but not a must.
- Exceptional Communication and Customer Service Skills: Strong written English capabilities with proven experience in guest communications.
- Project Management and Coordination Expertise: Demonstrated ability in managing and coordinating projects
- Financial and Administrative Proficiency: An understanding of financial management, revenue analysis, and accounting principles, as well as Excel and spreadsheet handling.
- Marketing and Operational Efficiency: Manage marketing tasks like property listing accuracy and photo inspection reviews to ensure top-notch property representation.
- Technology and Online Proficiency: Efficiently manage multiple role aspects by quickly learning our software tools.
- Critical Thinking and Analytical Skills: Able to analyze market research and product information to optimize property listings is key.
- Punctual, Reliable, and Committed: Daily report on Slack of a clock-in for the start of shift and a quick end-of-shift summary of what occurred for the day, any issues that need to be escalated, as well as a quick summary of all tasks completed. Asana is used for task management and a Screenshot Monitor is used to track being online and active.
- This role is an hourly position and expected to be active and working during scheduled hours, this is not a project-based position.
- Required 100 mbps internet speed, a backup laptop device, and back up data/internet connection
- Experience with Google Drive, Slack, Loom, LastPass, Airbnb, Hostfully, Booking.com, VRBO, Hospitable (Smartbnb), Breezeway, Operto, PointCentral, OpenPhone, Mailchimp, Quickbooks, Pricelabs, Zapier, Asana, Hubspot preferred
COMPENSATION & BENEFITS:
Monthly Salary: $800 USD per month
Probationary Period: $750 USD per month during 3 month probationary period and $800 USD after probationary period
Benefits available after Probation Period:
