COMPANY OVERVIEW:

Element Vacation Homes is a Central Florida property management company specializing in larger high-quality short-term vacation home rentals. Formed in late 2020 with an emphasis on happy owners and happy guests.

POSITION SUMMARY:

Element Vacation Homes is currently seeking an organized, detail-oriented Reservations Manager to join our team. Our systems are pretty good but we need you to make them even better. This position wears many hats including:

Listings – Managing the onboarding of new properties, the final copy and photographs of each home, basically the overall look, feel and quality of the published listings

Reservations – Maintain low response times by promptly addressing inquiries and calls, liaising with operations to guarantee that properties are prepared, guests are informed about their stay, and payments are processed timely

Analysis – Analyze and derive insights from reservation patterns, promotional campaigns, market segments, and distribution channels to inform strategic decisions

This is a pivotal ground-floor role within our organization and therefore we are only seeking passionate, hardworking rock stars to apply.

RESPONSIBILITIES:

  • Oversee daily reservation processes, including inventory management, group bookings, special events, and occupancy goals, along with system management, budgeting, and forecasting
  • Direct daily operations of the reservations department, ensuring effective coordination across various departments
  • Manage and communicate information regarding occupancy, promotions, special reservation procedures, reservation issues, and special events
  • Complete ownership of listings including routine auditing * Fair warning: our standards are pretty high
  • Assist in recruitment, training, and support of a diverse team
  • Coordinate VIP, owner, and media bookings to ensure exceptional guest experiences upon arrival
  • Manage the onboarding and offboarding of properties, including listing creation and coordination with operations
  • Conduct guest pre-arrival and post-departure calls
  • Develop statistical models and analyze trends to improve organizational efficiency
  • Possess strong selling skills & coach team members on sales techniques
  • Ensure accurate reporting and logging of relevant information
  • Schedule and supervise reservation team members
  • Participate in after-hours MOD duties and attend required meetings
  • Address emergencies and guest issues promptly and effectively
  • Actively respond to and manage online feedback and reviews
  • Undertake additional analysis and related projects as requested

  • Ability to work independently under pressure, prioritize tasks, and handle a fast-paced environment with a sense of urgency
  • Meticulous attention to detail
  • Vacation rental/ hotel experience (preferred) – ideal candidates will possess familiarity of the hotel and/ or vacation rental industry
  • Local area knowledge (preferred) - ideal candidates will possess familiarity of the local area, its attractions & offerings
  • Reliable transportation & flexible schedule including holidays

COMPENSATION & BENEFITS:

Annual Salary: $45,000 to $55,000 based on experience and achievement
