POSITION SUMMARY:

Join our team as our Property Management Administrative Assistant and become an integral part of our operations! In this role, you’ll ensure that our properties run smoothly while creating a warm and welcoming atmosphere for our guests. Your responsibilities will include coordinating with vendors, managing financial tasks, and nurturing positive relationships with clients and visitors.

This part-time position offers a flexible schedule and requires some evening and weekend availability. If you are detail-oriented, thrive in a dynamic environment, and are eager to make a meaningful impact in property management, we’d love to hear from you!

This is a hybrid role in Michigan that allows for working remotely with the need for flexibility to travel to Grand Rapids quarterly to attend meetings.

RESPONSIBILITIES:

  • Real Estate Support: Assist with filing claims and preparing contracts to ensure compliance and accuracy.
  • Vendor Coordination: Schedule and manage vendors for property maintenance and repairs.
  • Procurement: Order necessary items and supplies to maintain properties.
  • Financial Management: Handle accounts payable and receivable, ensuring timely payments and collections.
  • Bookkeeping: Maintain accurate financial records and assist with bookkeeping tasks.
  • Meeting Coordination: Schedule and organize internal meetings and home showings.
  • Guest Communication: Serve as the primary point of contact for guest inquiries, ensuring excellent service and satisfaction.
  • Reservation Management: Set reservations for guests and coordinate guest experiences.
  • Reporting: Collect and send monthly reports to management, providing insights on property performance.
  • Client Appreciation: Assist in planning and executing client appreciation events and initiatives.
  • Quote Management: Obtain quotes for insurance, taxes, building maintenance, and other services as needed.

QUALIFICATIONS:

    • Previous experience in property management, hospitality, vacation rentals, or real estate preferred.
    • Strong organizational skills with an attention to detail.
    • Excellent communication and interpersonal skills.
    • Ability to multitask and prioritize effectively.
    • Basic bookkeeping and financial management knowledge.
  • Must reside in Michigan with the ability to attend quarterly meetings in Grand Rapids.

COMPENSATION & BENEFITS:

Hourly Rate: $17 - $23
