Position Summary
Gibson Beach Rentals is seeking a dependable, service-minded Owner Services & Property Care Coordinator to help care for the vacation rental properties in our portfolio while supporting communication and follow-up with our homeowners.
This is primarily a field-based position. Approximately 75% of the role will be spent visiting properties, completing inspections, documenting concerns, coordinating access, verifying completed work, delivering small supplies, and helping ensure each property meets Gibson Beach Rentals’ standards for cleanliness, presentation, maintenance, and guest readiness.
The remaining portion of the role will support our owner services efforts. This individual will communicate directly with homeowners by email and phone, follow up on assigned requests, provide updates on property-related work, share photographs and relevant information, and confirm when tasks have been completed.
This position will not independently manage a portfolio of homeowners or serve as the primary contact for every owner matter. However, the Owner Services & Property Care Coordinator will be a trusted, owner-facing member of the team and will be expected to communicate professionally and confidently with homeowners when required.
This role is designed as an entry point into homeowner relations for someone who demonstrates strong communication, sound judgment, professionalism, initiative, and consistent follow-through.
The ideal candidate enjoys being out in the field, notices the small details others may miss, communicates clearly, and takes ownership of assignments from beginning to end.

The Owner Services & Property Care Coordinator helps connect what is happening inside a property with the communication and follow-through homeowners expect. The quality of this work directly affects homeowner satisfaction, guest experience, property condition, and owner retention.
Key Responsibilities
Property Care & Field Operations
- Visit vacation rental properties throughout Gibson Beach Rentals’ service area.
- Conduct routine property inspections and document findings with clear notes and photographs.
- Identify maintenance, housekeeping, presentation, inventory, safety, and guest-readiness concerns.
- Verify that assigned repairs, cleanings, installations, and property improvement work have been completed properly.
- Coordinate property access for vendors, contractors, homeowners, and internal team members.
- Assist with new-property onboarding, seasonal inspections, preventative maintenance initiatives, and property improvement projects.
- Deliver small supplies or replacement items when needed.
- Review property and guest feedback to help identify recurring concerns or opportunities for improvement.
- Help resolve time-sensitive property concerns in coordination with Housekeeping, Maintenance, Guest Services, and Operations.
- Proactively identify potential concerns before they become larger or more costly problems.
Owner Services & Communication
- Communicate directly with homeowners by email and phone regarding assigned property matters.
- Follow up with homeowners after maintenance, housekeeping, property-care, or improvement tasks have been completed.
- Provide clear, timely updates, photographs, estimates, and other relevant property information.
- Assist with homeowner questions, requests, and open action items.
- Track owner-related assignments and help ensure they are followed through to completion.
- Document homeowner communications, property updates, and completed work accurately.
- Handle routine homeowner communication professionally and confidently.
- Escalate sensitive, complex, or unresolved homeowner concerns to management.
- Close the communication loop so homeowners know their requests have been addressed.
Operational Coordination
- Partner with Housekeeping, Maintenance, Guest Services, and Operations to address property needs.
- Coordinate and follow up on work orders, maintenance requests, inspections, and operational concerns.
- Maintain accurate inspection reports, photographs, notes, and task updates.
- Manage multiple field assignments while adjusting to changing daily priorities.
- Communicate concerns promptly to the appropriate department or leader.
- Support other property-care, owner-service, and operational needs as assigned.

Required Qualifications
- At least one year of experience in hospitality, vacation rentals, property management, customer service, field operations, real estate, facilities coordination, or a related service-based position.
- Experience communicating professionally with customers, clients, guests, homeowners, or other stakeholders.
- Strong attention to detail and the ability to recognize property-care concerns.
- Dependable, organized, and able to work independently in the field.
- Professional written and verbal communication skills.
- Strong follow-through and the ability to manage multiple assignments and changing priorities.
- Good problem-solving skills, sound judgment, and the ability to recognize when a concern should be escalated.
- Comfortable using mobile applications, email, digital task-management systems, and property management technology.
- Ability to take, organize, upload, and share clear property photographs and documentation.
- Valid driver’s license and reliable transportation.
- Ability to travel throughout the company’s property portfolio as required.
Preferred Qualifications
- Experience in vacation rental operations, hospitality, property management, inspections, guest services, or owner services.
- Knowledge of maintenance coordination, property inspections, and vendor management.
- Familiarity with Destin, Sandestin, Miramar Beach, Panama City Beach, and the surrounding area.
- Experience with Breezeway, property management software, Microsoft Office, or Google Workspace.
Physical & Field Requirements
- Ability to spend the majority of the workday traveling between and working inside vacation rental properties.
- Ability to walk properties, climb stairs, bend, reach, and conduct detailed visual inspections, with or without reasonable accommodation.
- Ability to carry small supply items and household goods as needed, with or without reasonable accommodation.
- Ability to work independently in a variety of properties and resort environments.

Availability
- This is a full-time position.
- Full scheduling availability is required based on the needs of the business, including weekends and holidays.
- This position will participate in the scheduled Manager on Duty (MOD) on-call rotation.
