POSITION SUMMARY:

Vanage Vacation Homes is seeking a motivated and detail-oriented Operations Coordinator to join our remote team. The ideal candidate will bring a systems-minded approach to managing daily operations and ensuring smooth communication across departments.

In this role, you’ll oversee and update our operational platforms — particularly Guesty and Breezeway — to maintain accuracy, efficiency, and provide exceptional service. You’ll be responsible for ensuring the accuracy of our Operations Systems, including for example triage and task assignments, task progress and completion, documentation. Additionally, the Operations Coordinator will support with listing audits and operation system updates and workflow/template modifications. The Operations Coordinator will also support a variety of administrative tasks to keep operations running seamlessly.

RESPONSIBILITIES:

  • System updates
    • Triage and assign Breezeway tasks to the responsible field team member.
    • Update Breezeway with task status/pictures, monitoring WhatsApp channels to ensure all tasks are logged, updated, and with the correct status
    • Monitor Breezeway reported issues, and triage according to urgency
    • Review all completed tasks to identify issues noted and ensure sufficient detail and documentation is provided.
    • Create and modify (as needed) Breezeway templates and workflows
    • Create and update Breezeway property profiles and elements (with information provided from the field team)
    • Create and update Breezeway Guest Guidebooks
    • Update and create listings in Guesty
    • Update Guesty automated communications
  • Generate daily, weekly and monthly Breezeway reports to help the team stay on track
  • Generate maintenance reports for owners
  • Support sales efforts by researching active vacation rentals and home listings to identify potential targets.
  • Assist with purchasing supplies and fulfilling guest needs as required.
  • Support with the buildout of new systems that support the guest communications team (e.g., AI tools, message automations)
  • Complete additional administrative and technology tasks as assigned.

QUALIFICATIONS:

  • 1-2 year of experience in the short term / vacation rental industry
  • Must be tech savvy and have experience with software
  • Strong proficiency with Guesty and Breezeway systems strongly preferred
  • Fluent in English, both written and spoken

COMPENSATION & BENEFITS:

Hourly Rate: $7.00 - $8.00

9-5 EST (flexible), but would like to have on EST working hours
