POSITION SUMMARY:

As the Marketing department at The Maimon Group evolves, the Marketing Assistant role is transitioning to focus more on task coordination, asset organization, and internal support. This position is central to keeping projects on track, ensuring high-quality deliverables are created and shared, and maintaining an organized structure across all marketing assets and requests.

RESPONSIBILITIES:

Task & Project Coordination (via Asana)

  • Proactively push projects through to completion in a timely manner, for both digital and physical items.
  • Act as the main liaison between internal departments and the marketing team for all collateral and creative requests.
  • Create, assign, and track tasks in Asana, ensuring deadlines are met and priorities are clear.
  • Follow up with designers, content creators, and other team members to ensure timely execution of all marketing deliverables.
  • Provide the Marketing Manager with regular updates on project timelines and completions.

Asset & File Management

  • Maintain and organize the marketing Google Drive, ensuring all materials are properly named, stored, and easily accessible.
  • Organize and streamline all Canva folders, templates, and assets for efficient use by internal and external collaborators.
  • Support the team in locating or updating existing marketing materials as needed.

Creative Production & Collateral

  • Create and update property cards for all active listings.
  • Build and format home manuals, ensuring all branding and informational details are accurate and consistent.
  • Assist in the development of additional one-off marketing collateral when required.

Quarterly Marketing Presentation

  • Own the creation and formatting of the quarterly marketing performance presentation.
  • Collaborate with the Marketing Manager to gather data, visuals, and messaging.
  • Ensure the final deck is polished, on-brand, and presentation-ready.

General Marketing Support

  • Provide flexible, ongoing support to the Marketing Manager and team on administrative tasks, coordination, and special projects.
  • Stay adaptable to shifting needs and priorities as the company continues to grow.

QUALIFICATIONS:

  • Good or excellent command of written English. A college degree or a course certificate in letters, arts, and sciences is a bonus
  • Basic design editing skills with Canva. Photoshop is a bonus but not a requirement
  • Experienced with managing software with CRM functionalities, and/or fast learner in the technology area
  • Great visual and verbal taste, "designer eye"
  • Creative thinking and problem-solving
  • Ability to multitask and meet deadlines
  • Basic knowledge of social media algorithms and features: LinkedIn, Instagram, Facebook, TikTok, youTube
  • Great command of WordPress, Excel, PowerPoint, and other data organization apps
  • Understanding of luxury lifestyle and the respective target audience

COMPENSATION & BENEFITS:

Hourly Rate: $8.00 - $10.00 based on experience

Schedule:

  • 1099 Contractor
  • Min. 8 hours/day, 5 days/week
  • Available between either 8 am EST - 5 pm EST or 8 am PST - 5 pm PST.
  • Approx. 120 hours / month
  • Flexible schedule for uninterrupted at-desk work
  • Availability to answer emerging questions during off-the-clock hours
  • Requirement: execute on tasks in a timely manner, being available and responsive on the days it was agreed on.
  • Will require logging in and logging out a clock app; and be transparent about how much time, approximately, each task takes.
