POSITION SUMMARY:

Are you an expert in organization, accuracy, and logistical problem-solving?

Our Maintenance Purchasing Coordinator plays a crucial role in supplying our maintenance team with the necessary supplies, tools, and equipment to keep our vacation properties in peak condition. Reporting directly to the Chief Financial Officer, you’ll work independently, with the freedom to own your systems, build strong vendor relationships, and maintain a well-organized inventory process.

In this role, you'll take charge of the entire purchasing process, sourcing cost-effective maintenance supplies and ensuring timely deliveries. By analyzing inventory trends, you'll plan for seasonal and emergency needs while maintaining a well-organized warehouse for easy access. Collaborating with field teams, you'll address their supply requirements and keep precise records of invoices and orders. Your focus on cost awareness will help the company maximize value without compromising quality.

RESPONSIBILITIES:

  • Carefully source and purchase maintenance supplies, tools, and equipment with a focus on cost-efficiency, reliability, and timeliness.
  • Maintain optimal inventory levels by analyzing usage patterns, anticipating seasonal demands, and preparing for emergencies.
  • Develop and manage vendor relationships to ensure dependable supply chains, favorable pricing, and clear delivery expectations.
  • Track orders, monitor delivery schedules, and address any issues with accuracy and prompt resolution.
  • Conduct regular inventory audits, reconcile discrepancies, and ensure all items are accounted for and organized.
  • Collaborate with supervisors and technicians to understand supply needs and provide timely fulfillment.
  • Maintain purchasing records, invoices, and inventory systems using software tools to ensure clarity, accuracy, and compliance with relevant regulations.

QUALIFICATIONS:

  • High school diploma or equivalent; an associate's degree is a plus.
  • Previous experience in purchasing, inventory control, procurement, or warehouse coordination—especially in hospitality or property management.
  • Strong organizational habits and clear, professional communication skills.
  • Confidence using software tools such as QuickBooks, Excel, or inventory management systems to track and maintain accurate records.
  • The physical ability to safely lift and move supplies (up to 50 lbs) as needed.
  • A valid driver’s license and a clean driving record for occasional travel or deliveries.

COMPENSATION & BENEFITS:

Hourly Wage: $22 - $24 based on experience and achievement
