POSITION SUMMARY:

The Maintenance Administrative Assistant is critical in ensuring Oak Island Accommodations owners and guests have a positive experience.

The ideal candidate for this position is an organized individual who can handle multiple tasks under tight deadlines and communicate courteously and effectively with owners and guests. You will need to be able to assess customers' needs and respond quickly with solutions.

Day-to-day tasks will include:

  • assigning work orders to maintenance technicians
  • communicating timelines for completion and cost of services
  • working with owners, guests, and vendors professionally.

RESPONSIBILITIES:

  • Answer calls from owners and guests regarding maintenance issues in the rental property.
  • Provide professional and courteous customer service to owners, guests and vendors via phone, email, and face-to-face meetings.
  • Work with owners and guests on issues and resolutions when applicable
  • Work with multiple computer systems at once, including but not limited to property management software, Outlook, and smart home technology sites
  • Communicating with other departments
  • Maintaining maintenance programs
  • Obeys all applicable Federal laws, rules, and regulations relating to Anti-Money Laundering (AML), including the Bank Secrecy Act (BSA)

QUALIFICATIONS:

  • High School Diploma or equivalent
  • Vacation rental experience is preferred but not required
  • Knowledge of programs such as Excel, Word, Outlook, and property management software
  • Excellent written and verbal communication skills
  • Able to manage time effectively
  • Able to work well on a team

PHYSICAL REQUIREMENTS: 

  • Able to exert up to 50 pounds of force occasionally, use your arms and legs, and sit most of the time
  • To perform activities like analyzing data, viewing a computer screen, reading, and preparing documentation, you should have good close-up vision. It's important to be able to see things up close and clearly.
  • This job entails exposure to both indoor and outdoor environmental conditions.
