POSITION SUMMARY:

Are you a results-driven leader with a sharp business mind and a passion for excellence? We’re looking for a highly competent Law Firm Office Manager to oversee financial operations, drive efficiency, and ensure our clients receive a seamless, top-tier experience.

This is a high-impact role where you’ll own key administrative and financial functions—including trust accounting, retainer management, client billing, and cash flow—while optimizing performance and contributing to the firm’s long-term success.

RESPONSIBILITIES:

  • Administrative and Operations Coordination– Support the firm in running smoothly with impeccable organization and efficient task management.
  • Financial Management & Accounting – Handle trust accounting, retainer management, client billing, payment processing, and financial reporting to optimize cash flow and collections
  • Billing & Payment Oversight – Manage pre-bills, finalize invoices, process payments, and ensure compliance with firm protocols.
  • Client Relations – Act as the go-to expert for billing inquiries, providing clear communication and problem resolution with professionalism and care.
  • New Client Onboarding – Lead introductory calls, educate clients on firm policies, and ensure seamless account management.
  • Performance Optimization – Monitor key financial metrics, implement efficiency strategies, and drive continuous improvement.
  • Vendor and Supplier Management – Support contract negotiation and manage relationships to keep operations cost-effective.

QUALIFICATIONS:

  • 5 years as a Law Firm Office Manager in a fast-paced, high-performance environment.
  • Proven financial management expertise – trust accounting, client billing, payment processing, and financial reporting.
  • Advanced proficiency in QuickBooks, Timeslips, and Microsoft Office Suite
  • Top-tier client service skills – Strong communicator with a problem-solving mindset and ability to de-escalate concerns.
  • Obsessively organized & detail-oriented – You thrive on structure and efficiency.
  • Bachelor’s degree in accounting, finance, business administration, or a related field preferred—equivalent experience will be considered in lieu of a degree.
