Position Summary
We are seeking a high-performing Intake Team Leader to lead one of the most important functions in our personal injury firm: client intake.
At a personal injury firm, intake is not just an administrative function, It is the front door to our business. This role requires someone who understands the urgency and has the experience, leadership acumen, and personal accountability to build and manage an intake team that performs at the highest level.
The right candidate will be exceptional in personal injury client intake and equally strong leading and motivating people. This person must know how to convert opportunities into signed cases while also developing, leading, and elevating a team.
What This Role Requires
This is not a passive management role. We are looking for someone who understands that intake drives the firm’s growth and who is ready to take ownership of that responsibility. The right person will bring both the technical skill of excellent personal injury intake and the leadership ability to build a stronger, better, cohesive and more effective team.
Key Responsibilities
- Lead and oversee the firm's personal injury intake process from first contact through signed representation
- Ensure all incoming leads, calls, and inquiries are handled promptly, professionally, and with a high-conversion mindset
- Train, lead, and develop intake team members to improve performance, communication, consistency and client experience.
- Enforce our existing operating procedures of accountability, performance standards, and measurable goals for the intake department
- Monitor key intake metrics, case conversion rates, response times, and team performance as well as be prepared to present those reports in routine meetings with leadership
- Identify gaps, inefficiencies, and missed opportunities in the intake process and implement improvements
- Ensure the intake team delivers the highest level of client service and professionalism
- Work closely with firm leadership to align intake operations with the firm's growth goals
- Help refine and maintain systems, scripts, workflows, and processes that support strong intake results
- Lead by example with urgency, time management, extreme ownership, and a results-driven mindset
Required Qualifications
- 1+ years minimum proven experience in personal injury intake, with a strong understanding of how to convert leads into signed cases
- You must be bilingual (English and Spanish)
- Previous leadership or management experience, preferably overseeing an intake team or similar client-facing department
- Strong communication skills and the ability to connect with potential clients in a compassionate and confident manner while keeping "time on call" in mind for efficiency
- Demonstrated ability to coach, motivate, and develop team members
- Highly organized, accountable, high integrity and performance-driven
- Comfortable tracking metrics, managing goals, and being responsible and accountable for results
- Able to thrive in a fast-paced environment where urgency, client experience and responsiveness matter
- Committed to continuous improvement and raising the standard of the department
Compensation & Benefits
Annual Salary - $47,000 - $58,000 depending on experience
