POSITION SUMMARY:

The Finance & Operations Coordinator is the organizational heartbeat of Relitix — the person who keeps our financial systems accurate, our office humming, and our team supported. This role reports directly to the CEO and works closely with leaders in Client Success, Product, and Sales to make sure our fast-growing SaaS business runs smoothly day to day.

You’ll wear many hats — part bookkeeper, part project coordinator, part office manager — and you’ll be deeply trusted with the details that keep the company functioning. One day you might be reconciling payments in QuickBooks Online, updating ARR reports, or running payroll through our PEO, and the next you might be coordinating travel for a conference or making sure our Lake Geneva office is ready for a team strategy day.

This is an ideal role for someone who enjoys structure, loves getting things done right, and takes pride in being the person others rely on. You’ll have a hand in everything from cash flow tracking and vendor management to process documentation, office organization, and team logistics. You’ll also help shape the rhythm of our in-office culture — ensuring that our three in-office days each week (Tuesday through Thursday) are well-organized, collaborative, and enjoyable.

RESPONSIBILITIES:

Financial Operations

  • Manage day-to-day bookkeeping in QuickBooks Online, including accounts payable, receivable, and expense categorization.
  • Reconcile Zoho Billing, Stripe, and bank/ACH transactions for accurate monthly reporting.
  • Assist in collection of past-due accounts and resolve payment issues with clients.
  • Prepare weekly cash flow reports and assist with forecasting and budget tracking.
  • Support the CEO in creating monthly and quarterly financial packages for internal and investor reporting.
  • Coordinate payroll and benefits administration through the company's PEO; ensure employee data accuracy and compliance.

Office & Administrative Management

  • Serve as the owner of the Lake Geneva office — ensuring it's stocked, organized, and running smoothly three days a week.
  • Coordinate office vendors, supplies, deliveries, maintenance, and technology needs.
  • Manage schedules for in-office meetings, visiting clients, and company gatherings.
  • Plan occasional team lunches, events, or meetings to build connection and culture.

Operational Systems & Processes

  • Create and maintain operational checklists and documentation for finance, HR, and administrative workflows.
  • Support onboarding/offboarding processes (accounts, benefits, hardware, etc.).
  • Track and renew company insurance policies, software licenses, and compliance requirements (e.g., MFA enforcement).
  • Identify opportunities to automate or streamline repetitive tasks using tools like n8n, Zapier, or Zoho automations.

Team & Leadership Support

  • Provide general support to the CEO and leadership team — scheduling, travel logistics, vendor research, and meeting prep.
  • Assist with internal reporting and data requests from sales, product, and client success.
  • Be a trusted, reliable point of contact for team members needing operational help.

Culture & Presence

  • Model a professional, positive, and reliable presence — setting the tone for in-office collaboration.
  • Help maintain a culture of accountability and follow-through consistent with our EOS/Traction principles.
  • Ensure that the office is a place people look forward to coming to — organized, welcoming, and productive.

QUALIFICATIONS:

  • 3+ years of experience in bookkeeping, finance operations, or office administration in a small business or SaaS environment.
  • Proven proficiency with QuickBooks Online, including reconciliations, journal entries, and financial reporting.
  • Hands-on experience with billing or invoicing systems (Zoho Billing, Stripe, or comparable).
  • Solid understanding of cash flow, accounts payable/receivable, and expense management principles.
  • Demonstrated ability to manage and organize an in-office environment, including vendor coordination and supply management.
  • High attention to detail and accuracy — the ability to spot inconsistencies and proactively resolve them.
  • Technology-savvy and process-minded, with strong proficiency in Excel or Google Sheets and the ability to learn automation tools (Zapier, n8n, etc.).
  • Excellent written and verbal communication skills; professional presence with a service-oriented mindset.
  • Availability to work in the Lake Geneva office three days per week (Tuesday–Thursday) and remotely two days per week.
  • Authorized to work in the United States without sponsorship.

COMPENSATION & BENEFITS:

Annual Salary: $40,000 - $55,000 based on experience
