POSITION SUMMARY:

The Executive Assistant reports to the President of Fortuna Bakery. They are responsible for providing direct administrative support to the President of the company, ensuring efficient calendar management, coordination of strategic meetings, preparation of confidential documents, and follow-up on key tasks. Serves as a liaison between the President and various departments, maintaining clear and organized communication. A high level of discretion, proactiveness, time management skills, and the ability to work in a dynamic environment are required.

RESPONSIBILITIES:

  • Manage the executive’s calendar and coordinate meetings.
  • Organize and prepare documents, presentations, and reports.
  • Handle phone calls, emails, and correspondence.
  • Serve as a liaison between senior management and other departments or clients.
  • Coordinate travel arrangements and related logistics.
  • Manage confidential information with discretion and professionalism.
  • Follow up on tasks and projects assigned to the executive.
  • Prepare and coordinate special events or meetings.
  • Assist in drafting and reviewing official documents.
  • Manage and prioritize multiple tasks in a dynamic environment.

QUALIFICATIONS:

  • University degree or technical certification in Administration, Business Management, Executive Secretary, or related fields.
  • Previous experience in similar administrative support or executive assistant roles.
  • Advanced proficiency in Microsoft Office tools (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Ability to handle confidential information with discretion.
  • Strong organizational skills, attention to detail, and multitasking ability.
  • Interpersonal skills and ability to work in a team.
  • Bilingual (Spanish and English).
