As we continue scaling our luxury property management business, we are seeking a Trust Accounting Director to lead and enhance our trust accounting operations. This role is ideal for a seasoned financial leader with expertise in trust accounting, compliance, and financial forecasting—someone who thrives in a fast-paced, high-standard environment and is ready to help refine and elevate our financial operations.
POSITION SUMMARY:
The Trust Accounting Director will oversee all trust accounting functions related to our luxury property management business, ensuring strict compliance with financial regulations while optimizing financial performance. This leadership role involves managing accounting teams, implementing scalable accounting processes, and providing high-level financial oversight. You will be instrumental in executing trust accounting best practices, ensuring seamless reconciliation, compliance, and financial reporting while working cross-functionally to drive efficiency and accuracy in our financial operations.
This role is strategic and hands-on, requiring expertise in trust accounting, financial compliance, property management systems, and process automation. You will play a critical role in implementing and optimizing Escapia, our property management system, to support financial growth at scale.
RESPONSIBILITIES:
- Oversee all trust accounting Remote accounting Team and operations, ensuring full compliance with legal, Training, and industry financial regulations.
- Manage the accounting team, providing leadership in all trust accounting activities related to our property management business.
- Monitor and optimize accounts receivable and guest payment processes, ensuring seamless transactions.
- Oversee guest deposit returns, refunds, and utility bill payments, ensuring accuracy and compliance.
- Lead trust accounting reconciliation, producing weekly, monthly, and annual audited reports.
- Manage accounts, Statements, Advanced deposits, Negative Folio, OIP, Reports,and payables to the business, ensuring all financial transactions align with industry regulations.
- Manage end-of-month owner statements ensuring transparency and financial integrity.
- Oversee hospitality-related TOT taxes, city tax filings, and business licensing compliance.
- Oversee Vendor, Real Estate, and Travel Advisor Payables Ensure prompt and efficient processing of payments while maintaining clear and effective communication.
- Implement and enhance financial workflows within the Escapia property management system, driving operational efficiency.
- Develop new scalable operational workflows, KPIs, and financial playbooks, supporting long-term growth.
- Provide immediate responses to financial and accounting-related concerns, ensuring real-time resolution via Asana, Slack, and other communication platforms.
- Conduct regular meetings and Audits with team managers and key stakeholders, ensuring alignment on all financial operations.
- Lead trust accounting budgeting, forecasting, and cash flow projections, ensuring financial sustainability.
- Oversee end-of-year financial processes, including 1099 issuance and inventory reconciliation.
QUALIFICATIONS:
- 3+ years of experience in trust accounting, preferably within property management, real estate, or hospitality sectors.
- Bachelor’s degree in Accounting, Finance, or related field; Master’s degree or advanced finance certifications preferred.
- Deep expertise in trust accounting compliance, reconciliations, and financial audits.
- Strong proficiency in Escapia or similar property management accounting systems (Track, Streamline, Guesty)
- Proven ability to develop and scale accounting processes and financial workflows.
- Exceptional leadership skills, with a track record of managing high-performance accounting teams.
- Expertise in budgeting, forecasting, and cash flow management.
- Ability to navigate fast-paced environments with high attention to detail and precision.
- Excellent communication and stakeholder management skills, with the ability to collaborate across teams.
- Proficiency in digital accounting tools, financial reporting systems, and workflow automation tools (QuickBooks, Asana, Slack, Excel ,Ai etc.).
COMPENSATION & BENEFITS:
Annual Salary: $105,000 – $135,000 (based on experience and expertise).
Bonus: Performance-based incentives aligned with financial and operational KPIs.

- A personal bonus of 10%-20% will be paid monthly, contingent on management approval and the achievement of monthly goals. This bonus will commence after the completion of a 90-day probation period
