POSITION SUMMARY:

We're seeking a Bilingual Administrative and Finance Associate to join our Administration and Finance department. As the welcoming face of our firm, you'll embody our values in every interaction, ensuring that every visitor and caller experiences the professionalism and warmth that defines our firm’s culture.
Internally, you'll be essential in keeping our firm running efficiently and productively. Front desk management, sales support, meeting coordination, office maintenance, and various financial tasks will be your daily responsibilities. Taking on ad-hoc assignments will allow you to show your team spirit, contributing to our dynamic workplace.

RESPONSIBILITIES:
Reception Duties:
- Greets and assists visitors, prospective clients, and guests in a professional and welcoming manner.
- Answers phone calls and text messages, takes messages, and redirects inquiries to the appropriate staff using Clio Manage.
- Prepares meeting rooms and arranges refreshments for client and staff meetings.
- Maintains cleanliness and organization of common office areas.
- Orders and replenishes office and kitchen supplies as needed.
Support Administrator in the Accounting Department:
- Assists with Accounts Receivable and Accounts Payable tasks.
- Prepares and maintains the internal daily revenue reconciliation report using sales, cash, and credit card data.
- Reconciles the IOLTA bank account by accurately recording deposits and disbursements between the case management and accounting systems.
- Assists with daily cash counts and prepares bank deposits.
- Performs administrative tasks related to invoicing and payment processing.
- Ensures completion of all daily responsibilities in a timely and accurate manner.
- Maintains confidentiality of sensitive information and adheres to company policies and procedures.
- Performs other duties as assigned or needed.
QUALIFICATIONS:
- Proficiency in both Spanish and English is required.
- High school diploma required, with a strong desire and aptitude to learn on the job.
- 1–2 years of experience as a receptionist or in a customer service role.
- 1–2 years of experience in accounting or finance-related roles.
- Knowledge of Microsoft Office Suite is required.
- Knowledge of QuickBooks Desktop, Clio, and Dropbox is preferred.
- High attention to detail, excellent organizational skills, and ability to manage multiple tasks simultaneously.
- Demonstrates professionalism and integrity, with a consistent commitment to business etiquette.
COMPENSATION & BENEFITS:
Hourly Wage: $16 - $20 per hour based on experience and achievement
