POSITION SUMMARY:

As a Luxury Property Management Accounting Specialist, you will be a key member of our team. Your main responsibilities will include processing reservations, ensuring smooth operation flow, and managing payroll. You will be responsible for verifying that all necessary documents are on hand, managing accounts payable, reconciling accounts, and generating reports.

RESPONSIBILITIES:

  1. A/P Specialist 
  • Assist with the preparation of Escapia financial reports, such as, negative folio, advanced deposit report, OIAP, and other reports for the Accounting Manager.
  • Maintain accurate vendor files on the accounting drive
  • Audit pay open items and pay owners at a minimum 3 times a week
  • Ensure we have W9’s for all vendors filed properly
  • Update and/or request banking information
  • Audit pay refunds daily
  • Update deposit return google sheet
  • Store all BW receipts in owner files
  • Scan the Accounting inbox for any incoming bills and route them for proper approval
  • Perform daily payment runs & update payments sheet
  • Audit expenses on owner statements and apply monthly credit or adjustments monthly
  • Perform data entry and maintain accurate financial records in the accounting drive
  • Assist with month-end and year-end closing procedures
  • Support the accounting team with projects and tasks
  1. Trust Accounting Clerk: 
  • Oversee A/R and A/P transactions
  • Clear trust banking activities daily
  • Reconcile trust banking monthly
  • Update Credit card activities weekly
  • Reconcile Credit cards activities against Escapia/BW monthly
  • Process City TOT Filings
  • Prepare Nightly Tax reporting for operations to file
  • Perform data entry and maintain accurate financial records in accounting drive
  • Collect all trust related W9s
  • Assist with month-end and year-end closing procedures
  • Assist with 1099s
  • Support the accounting team with projects and tasks
  1. Operations Accounting: 
  • Assist with the preparation of QBO financial statements, OIAP entry, and reports for Accounting Manager.
  • Handle A/R and A/P transactions
  • Match credit card receipts and file accordingly
  • Process bank feeds transactions
  • Reconcile all operating banks and related entities bank accounts
  • Perform data entry and maintain accurate financial records in accounting drive
  • Collect W9s related to Ops
  • Assist with month-end and year-end closing procedures
  • Support the accounting team with projects and tasks
  • Assist with 1099’s

QUALIFICATIONS:

  • Excellent written and verbal skills (English)
  • Ability to work in a fast-paced environment

COMPENSATION & BENEFITS:

Hourly Wage: $8 - $12/ hour based on experience and achievement.

Schedule: This is a full-time remote position entailing 40 hours per week. You must be available to work from 9 a.m. – 5:00 p.m. Los Angeles time, with the ability to work weekends and holidays as needed.
