POSITION SUMMARY:
We’re looking for a superstar to join our small, dedicated team committed to providing exceptional legal service in the Central Florida community.
Your first responsibility (but far from your only) will be answering the phones, but not as an “average receptionist or intake specialist.” We want someone exceptional who gets excited every time the phone rings, knowing it represents an opportunity to help someone in need.
Our clients are often dealing with life-changing injuries or stressful situations. The right person for this role knows how to bring warmth, professionalism, and compassion to every call. When you pick up the phone, the caller should hear your smile.
You’ll be the first point of contact for potential clients, other attorneys, insurance adjusters, and existing clients. This role is ideal for someone who thrives on connection, cares deeply about people, and takes pride in creating an excellent first impression.
RESPONSIBILITIES:
- Answer inbound calls with warmth, empathy, and professionalism.
- Conduct client intake interviews and gather case details with accuracy and compassion.
- Call insurance companies to set up claims.
- Send out contracts to prospective clients and follow up to ensure completion.
- Send letters of representation to insurance companies and treating facilities.
- Obtain and organize police reports for new cases.
- Send handwritten thank-you notes to individuals who refer clients to the firm, complete with real stamps.
- Follow up on cases referred to other firms to maintain strong relationships.
- Build and maintain a client relationship database including birthdays, anniversaries, and family details to send gifts and notes celebrating special occasions.
- Collaborate with attorneys and case managers to ensure smooth client transitions.
- Maintain confidentiality and professionalism at all times.
QUALIFICATIONS:
- Bilingual (Spanish and English required) must be able to communicate fluently and professionally in both languages.
- Excellent phone presence and communication skills; you truly “smile through the phone.”
- Experience in a law firm or client-facing role preferred.
- High attention to detail, organization, and follow-through.
- Ability to handle sensitive information with discretion and empathy.
- Proficiency with computers, CRM systems, and general office software.
- Reliable, punctual, and able to work independently within a supportive team environment.
COMPENSATION & BENEFITS:
Pay: $15.00 - $20.00 / hourly
