POSITION SUMMARY:
The Association Management Administrator is a full-time role responsible for supporting the operations and management of VRNation, a professional association in the vacation rental industry. Reporting directly to the Executive Director, this position plays a crucial role in administrative tasks, board support, member engagement, event coordination, financial oversight, and marketing activities.
RESPONSIBILITIES:
Administrative and Operational Management
- Coordinate association communications and information management
- Maintain and update organizational records
- Manage phone and email communications
- Provide administrative support to the Executive Director
- Handle confidential information and correspondence
Executive Director Support
- Manage calendar, schedule appointments, and coordinate travel
- Prepare documents for meetings and presentations
- Assist with special projects and research
Board Support
- Coordinate Board of Directors meetings
- Prepare meeting agendas and materials
- Provide administrative support during board meetings
Financial Management
- Liaise with bookkeeping firm to facilitate financial activities
- Assist Executive Director in budget preparation and financial reporting processes
Membership Management
- Manage membership database and renewal process
- Assist members and potential members with their administrative needs
Contract and Vendor Management
- Investigate and present contract options to the Board
- Manage vendor relationships
- Ensure contractual compliance
Key Performance Indicators
- Collect, maintain and distribute key performance indicators to track the overall performance and health of the association
Event & Conference Coordination
- Serve as liaison with event management company
- Assist with planning and executing industry conferences
- Coordinate event logistics and planning
- Manage event-related member communications
- Oversee integration of association elements into events
- Manage webinar scheduling, platform setup, speaker coordination, attendee registration, and technical support
- Manage logistics for online webinar events
Marketing Coordination
- Act as primary point of contact for the marketing company
- Provide necessary information, resources, and approvals for marketing initiatives
- Coordinate with marketing company on content creation, campaign planning, and execution
- Ensure alignment of marketing efforts with association goals and brand guidelines
- Facilitate communication between marketing company and relevant stakeholders
- Review and provide feedback on marketing materials and strategies
QUALIFICATIONS:
- Minimum 3 years experience in association management or similar role
- Strong organizational and communication skills
- Knowledge of non-profit governance and board relations
- Proficiency in GSuite, Microsoft Office, and association management software
- Understanding of basic marketing principles and practices
- Ability to work independently while collaborating effectively with a remote team
- High attention to detail and commitment to professionalism
COMPENSATION & BENEFITS:
Annual Salary: $60,000 - $72,000
