POSITION SUMMARY:
Stay Porter is looking for a detail-oriented Administrative Assistant to provide essential support to our team in Scottsdale, AZ. The ideal candidate will excel in a fast-paced environment, efficiently managing a range of administrative tasks and projects. Your strong organizational skills, excellent communication abilities, and problem-solving aptitude will be critical to your success in this role.
As our Administrative Assistant, you will play a key role in ensuring smooth operations by managing document distribution, arranging travel itineraries, and coordinating meetings. Your ability to work independently and take initiative will be highly valued as you assist with research projects, submit purchase orders and expense reports, and manage important tasks.
RESPONSIBILITIES:
- Handling and assisting with document distribution and various administrative projects and responsibilities.
- Returning phone calls and emails on behalf of the company or an executive.
- Researching travel options, presenting itineraries to the CEO, and booking travel arrangements with agency contacts.
- Arranging and attending meetings as needed.
- Preparing and submitting purchase orders and expense reports.
- Managing manufacturer representative application forms and project registrations.
- Assisting company employees with internal and external research projects.
- Performing basic data entry as necessary.
QUALIFICATIONS:
- Previous experience as an administrative assistant or in a similar position is required.
- Exceptional organizational skills with the ability to manage multiple projects and priorities simultaneously.
- Strong verbal and written communication skills, including professional email and phone etiquette.
- Proven ability to handle sensitive and confidential information with discretion.
- Strong problem-solving skills and a proactive approach to anticipating needs.
- Detail-oriented with a commitment to accuracy and thoroughness.
- Self-motivated and capable of working independently with minimal supervision.

COMPENSATION & BENEFITS:
Hourly Rate: $20 - $23
