Legal Assistant – Litigation

Location: Phoenix, Arizona | Job Type: Full-Time

Schedule: Monday–Friday, 9:00 a.m.–5:00 p.m. | Work Arrangement: One work-from-home day per

week after training

Position Summary

A Phoenix law firm is seeking an experienced Litigation Legal Assistant with a minimum of three years of solid, hands-on commercial and/or civil litigation experience to support a busy team of attorneys and paralegals. We are looking for someone who is highly proactive in managing an active litigation desk and supporting the attorneys' caseload. This position requires more than responding to assignments as they are given. The Legal Assistant is expected to stay ahead of deadlines, maintain awareness of the status of assigned matters, anticipate upcoming needs, follow up on outstanding items, and help ensure that attorneys and paralegals have what they need to keep matters moving forward.

The successful candidate will be highly organized, detail-oriented, dependable, and comfortable taking ownership of the administrative management of a busy litigation caseload. Strong judgment, initiative, communication, and follow-through are essential.

Primary Responsibilities

  • Provide day-to-day litigation and administrative support to multiple attorneys and paralegals.

  • Proactively manage the administrative workflow of assigned matters and maintain awareness of upcoming deadlines, hearings, filings, discovery obligations, and other case needs.

  • Anticipate attorney and case needs, identify outstanding action items, and follow up as necessary to help keep matters moving forward.

  • Monitor litigation calendars and upcoming deadlines and communicate proactively with attorneys and paralegals regarding approaching dates, required filings, and outstanding items.

  • Prepare, revise, format, proofread, and finalize pleadings, motions, correspondence, discovery-related documents, and other litigation materials.

  • Prepare and coordinate electronic filings in state and federal courts.

  • Manage litigation calendars, court deadlines, hearings, depositions, mediations, meetings, and other case-related dates.

  • Review court notices, filings, orders, correspondence, and other case communications for deadlines, scheduling changes, and required action.

  • Maintain accurate, organized, and current electronic case files and litigation materials.

  • Schedule hearings, depositions, mediations, meetings, conference calls, and other case-related events.

  • Assist with opening and closing matters and related administrative procedures.

  • Prepare exhibits, indexes, electronic binders, deposition materials, hearing materials, and trial or arbitration notebooks.

  • Coordinate service, filings, deliveries, records requests, subpoenas, and other litigation-related administrative needs.

  • Assist with document productions, document management, and eDiscovery-related administrative projects.

  • Communicate professionally with clients, courts, opposing counsel, vendors, and other outside parties.

  • Coordinate workflow and projects with attorneys, paralegals, and other staff.

  • Maintain strong follow-through on assignments and ensure tasks are carried through to completion.

Required Qualifications

  • Minimum of three years of recent, substantive Legal Assistant experience supporting commercial and/or civil litigation matters in a law firm environment.

  • Demonstrated ability to proactively manage a busy litigation desk and support multiple active matters without waiting for attorneys to direct every next step.

  • Strong working knowledge of litigation procedures, court filings, calendaring, docketing, and deadline management.

  • Experience preparing and electronically filing documents in state and/or federal courts.

  • Ability to review case correspondence, court filings, notices, and orders and independently identify deadlines, scheduling changes, and action items.

  • Experience supporting multiple attorneys and working collaboratively with paralegals and other legal professionals.

  • Excellent organizational and desk-management skills, with the ability to maintain awareness of multiple active matters and competing priorities.

  • Strong initiative, judgment, accountability, and follow-through.

  • Ability to anticipate needs, identify potential gaps, and appropriately raise issues before they become problems.

  • Strong proficiency in Microsoft Outlook and Word, with working knowledge of Excel and Adobe Acrobat.

  • Experience with electronic case management and document management systems.

  • Strong proofreading, document-formatting, grammar, and written communication skills.

  • Professional communication skills and the ability to work effectively with attorneys, paralegals, clients, courts, and outside parties.

  • Ability to maintain confidentiality and handle sensitive client and case information appropriately.

  • Dependable, adaptable, and comfortable working in a fast-paced, team-oriented litigation environment.

Schedule & Work Arrangement

This is a full-time position working Monday through Friday, 9:00 a.m. to 5:00 p.m. The position is based in Phoenix, Arizona and includes one work from-home day per week following successful completion of training.

Compensation & Benefits

We offer a highly competitive compensation and benefits package, with compensation commensurate with experience, along with one work-from-home day per week after training. Salary range is 72K – 85K DOE.
