Established in 2022, Trust Synthesis is a completely remote niche accounting company, specializing in Trust Management with a growing portfolio and team. We are looking for an Integrator - Operations Manager to help the company Visionary - CEO take this company to the next level.

What is Trust Management? Trust Management is taking each Vacation Rental business’s operational factors into consideration, while creating systems that accurately reconcile guest, company,  and stakeholder revenue, current and future.

There are no two companies that operate the same in this space and we strive to create unified solutions that can be uniquely customized for each of our clients, while keeping our eyes on the long term goals of offering the highest level of service, solution and standard of Trust Management in the Vacation Rental Industry.

Position Summary: Operations Manager

This is a scope based position with schedule freedom. This position offers you the ability to set your own schedule as long as our scope of work for clients as well as the team’s accountability and support needs are being met. Contract specific training will be provided to you upon being offered the contract.

As operations manager, you will manage the day-to-day issues and hold our team, processes, systems, priorities and strategies together. You will be responsible for learning the scope of each account so that you can effectively monitor accuracy and timely delivery of client deliverables monthly. You will work alongside the Visionary to execute the company's vision, planning the strategies and goals necessary to help realize that vision.

  • Training (2-6 months as needed)
    • Get to know the Visionary + Company culture & mission
    • Become a SME with the scope of work of all existing clients
    • Become a SME with our solutions + their functionality
      • Including those being developed
    • Learning and becoming proficient in the software we work in
    • Get to know team and train on their scopes
  • On-Going Recurring Scope (during/after training)
    • One on one meetings with each team member + Visionary (weekly)
    • Full team meeting (every other week)
    • Team accountability
      • Navigating and managing click up process and supporting timely completion of tasks
    • Process documentation, assessment + improvement (as necessary)
    • Client communication
      • Existing clients (minimal)
      • New clients (primary)
        • On-boarding meeting
        • Emails and as needed meetings (remote)
        • Review of company financials (as needed/requested)
    • End of Month Delivery of client accounts
      • Creation of end of month spreadsheets for team to work in
      • Auditing accuracy of delivery from team
      • Investigating and answering questions as they arise from team
      • Final delivery to clients and payments to owners
    • Training new team members
    • End of year 1099 project management
  • Vision Scope
    • Work with Visionary on the plan and direction of the company helping to be the execution in the process
    • Building up our team in knowledge + scale to support for clients
    • Working in unison with the Visionary to continually develop new solutions and ensure that processes are continually evaluated for optimal accuracy and efficiency for the team and the client

Character/Skills

  • Working knowledge of the vacation rental industry - At Least One Positions for at least 3 months
    • Operations
    • Flow of revenue
      • Bonus points for an ability to recognize in data analysis areas of opportunities or points of failure in company process
    • End of month procedures
      • understanding is acceptable, “how to” is not necessary
    • Understanding of operational challenges and team dynamics in this unique industry
      • Being able to understand the challenges our clients face is imperative as we are here to make their lives easier while also holding the line for what is the RIGHT thing to do
    • Fast learner - this is critical for the role as new needs arise on a regular basis that entail quickly understanding various software platforms and technologies
    • Knowledge of basic accounting principles
      • Chart of Accounts, Reconciles, Liability Accounts, Expense Coding, Classes and Categories
    • Knowledge of Google Sheets, Excel, and Quickbooks
    • Track record of success as a team leader
      • Bonus points for remote teams
    • Tireless in the pursuit of solutions while maintaining an optimistic perspective.
    • Experienced with work life blend and remote teams
    • Self motivated and almost incapable of leaving a task unresolved
    • Effectively manage multiple projects in a fast paced complex environment while also being able to maintain effective interpersonal/professional communications with team and CEO
    • Follow/perform processes while simultaneously analyzing these processes for their efficiency and scalability
    • Create procedures that have yet to be established or modify any not meeting expectations of company standards
    • Make decisions when decisions need to be made and is able to quickly and accurately come to the correct solution while also understanding the short and long term impacts to the company of those decisions
    • Seeks self improvement in all areas of their life
    • Does not get easily offended by short and direct communication and feedback
    • Accepts new tasks  to their role with ease, as the company as well as assist visionary in the company's development as we grow and evolve.
