POSITION SUMMARY:
Searching for a detailed and proactive Property Management Coordinator with a strong ability to problem solve, manage multiple tasks at once, and receive and process information from multiple sources. The ideal candidate is task-driven, outgoing, and capable of working independently. This team member will be responsible for walking communities on a daily basis while liaising with owners, vendors, and team members. The secondary will be a variety of administrative tasks including but not limited to: scheduling meeting dates, coordinating correspondence, record keeping, logging upcoming projects, gathering quotes, and ordering supplies.
RESPONSIBILITIES:
- Provides support and maintains open lines of communication to ensure HOA issues are handled appropriately and in an organized timely manner
- Maintains working relationships with inter-departmental staff, HOA management, vendors, and residents
- Actively participates in HOA team meetings
- Assist in the daily operation of the HOA offices and administrative duties for the HOA division.
- Perform administrative assistant functions including but not limited to: record keeping, filing, mail collection/ distribution, word processing, data entry, maintaining and replenishing office supplies, and other essential needs as required.
- Perform regular property walk-throughs individually and with HOA team members noting areas in need of attention.
- Assist in the monitoring of vendor performance, the vendor license, and Insurance Expirations.
- Coordinate and track important dates for meetings, such as seasonal board meetings, and annual, and budget meetings complying with HOA-specific notice requirements.
- Drafts edits and prepares correspondence, minutes, reports, and other material for board members, owners, guests, management & vendors
- Provide and maintain a log of upcoming projects, board, and homeowner questions/suggestions for improvements.
- Ensure that the telephone is answered properly, and messages are handled courteously, accurately, and responded to in a timely manner, within 24 business hours.
- Ensure that all e-mails are responded to appropriately and in a timely manner, within 24 business hours.
- Assist with gathering quotes & proposals for projects for the community.
- Daily support of supply ordering for Maintenance, Housekeeping, and the Office(s).
- Assist in posting all agenda/meeting notices to owners and HOA websites (if applicable).
- Special projects as instructed.
QUALIFICATIONS:
- 1 to 2 years of customer service experience
- Excellent written and verbal communication skills
- Demonstrates ability to prioritize work and manage time, often under pressure
- Hard-working, detail-oriented, and committed to producing great end results
- Strong analytic skills
COMPENSATION & BENEFITS:
Annual Salary: $32,000 - $38,000
