POSITION SUMMARY:

The Guest Services Coordinator is pivotal in providing an exceptional experience for our guests, from booking reservations to assisting with inquiries and special requests. Familiarity with our rental properties, a knack for matching guests with their ideal vacation homes based on family size, location, and budget, and the ability to process payments and provide comprehensive guest support is essential. This role requires excellent communication, sales, and telephone skills and involves coordination with the Maintenance Department and outside vendors.

All duties and responsibilities of this position must be performed with exceptional care and genuine guest service, upholding company standards and culture at all times.

RESPONSIBILITIES:

  • Book reservations for vacation rentals via phone and email; confirm online bookings with guests.
  • Provide information regarding properties and availabilities to guests over the phone, via email, and live chat.
  • Guests should be assisted with questions, special requests, and issues before, during, and after their stays, ensuring a positive experience.
  • Accurately enter data into a variety of systems, maintaining data integrity.
  • Demonstrate an understanding of the interdependency of departments and information to help the workflow process.
  • Ability to accurately calculate costs for guests as well as process payments.
  • Follow up for overdue payments.
  • Provide administrative support and other duties as needed.

QUALIFICATIONS:

  • Proof of eligibility to work in the United States of America.
  • Ability to work flexible hours, including weekends.
  • Pleasant, positive, and upbeat hospitality attitude at all times.
  • Exceptional verbal and written communication skills.
  • Strong ability to multitask, organize, and pay attention to detail while processing high call and email volume.
  • Ability to perform in a fast-paced environment.
  • A high level of computer literacy and the ability to operate cell phones (touchscreen).
  • Ability to work flexible hours; weekend work required
