POSITION SUMMARY:

Do you have excellent administrative skills combined with a “get it done” attitude? If so, our team at Stay Nixon would love to hear from you. We’re looking for the right person to fulfill the role of Remote Executive Assistant, helping to manage and improve our everyday workflow and processes.

The Remote Executive Assistant position at Stay Nixon is a unique opportunity to work directly with the CEO and founder. To be an ideal candidate, you must have an organizational and administrative skillset, with high emotional intelligence allowing you to work collaboratively with our team. In this role, your day-to-day will consist of managing the CEO’s workflow, taking over duties such as email management, maintaining calendars and schedules, creating, formatting, and editing documents, and having a strong voice to improve our processes and implement them.

You’ll also be the person the CEO will rely on for social media management, assisting with creating, publishing, promoting, and managing content. Our team is confident that you'll enjoy working with Stay Nixon if your skills match our needs.

This is a full-time contract-to-hire role. The successful candidate should be available to work between 8:00 am - 5:00 pm CT Monday through Friday.

RESPONSIBILITIES:

  • Prioritize incoming emails, categorize, and manage the flow for the CEO.
  • Maintain work schedules and calendars of the CEO and organize the daily workload by priorities.
  • Prepare travel schedules, book travel arrangements, and make reservations.
  • Act as the point of contact among leaders, employees, clients, and other external partners.
  • Format all documents – memos, emails, presentations, and reports prepared for executive signatures and review for the format, content, grammar, and spelling, and make edits as necessary.
  • Facilitate internal communication (e.g., distribute information and schedule presentations.
  • Create SOPs, document processes, and organize files.
  • Assist Operations Manager with projects as needed.
  • Provide tech support (as admin control) for services used by the company.
  • Set up and familiarize telephonic communications via Dial Pad.
  • Proficient or experienced in Slack, Zoom, Trello, Notion, G-Suite, and Canva.
  • Assist with creating, publishing, promoting, and managing content across social media channels (Facebook, LinkedIn, Twitter, Instagram).
  • Additional social media tasks and outreach as assigned.

QUALIFICATIONS:

  • Proven track record in assisting a CEO as a high-level VA or Executive Level VA.
  • Highly organized, detail-oriented, and loves to develop new systems and processes.
  • Ability to prepare travel schedules, book travel arrangements, and make reservations.
  • Strong interpersonal skills
  • Strong internet connection and remote work capabilities.
  • Proficient or experienced in Slack, Zoom, Trello, Notion, G-Suite, Canva
  • Ability to identify areas of improvement and offer solutions

COMPENSATION & BENEFITS:

Annual Salary: $42,000 - $60,000
